Privacy Notice for Events

The following provides information about the processing of personal data in connection with (a) registration for in-person or online events, and (b) membership in the Bee360 Community, in accordance with the requirements of Article 13 of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Bee360 Services Ltd is part of the Bee360 group, headquartered at Bee360 GmbH, Victor-Gollancz-Straße 3, 76137 Karlsruhe, Germany. 2. Information We Collect
When you register for or attend a Bee360 event, we may collect:
- Registration data — first and last name, job title, company name, email address, phone number
- Event participation data — attendance records, session interactions, Q&A submissions
- Photo and video recordings — images or footage captured during in-person events for promotional use (see Section 5)
- Technical data — for online events: IP address, device type, connection data collected by the webinar/video platform
3. How We Use Your Information
- Process your registration and communicate event logistics (confirmations, reminders, changes)
- Facilitate event delivery, including managing attendance and participation
- Follow up after the event with relevant resources, recordings, or related Bee360 content
- Add you to our CRM (Pipedrive) so our team can follow up on your interest in Bee360 products and services
- Publish photos or video recordings from in-person events on our website and social media channels (with appropriate notice — see Section 5)
- Analyse event performance and improve future events
- Comply with legal obligations
4. Legal Basis and Consent
Under the UK GDPR and the Data Protection Act 2018, we rely on the following legal bases for processing your personal data in connection with our events:
- Registration data is processed on the basis of contract performance or pre-contractual steps (UK GDPR Article 6(1)(b)) — to manage your event registration and attendance — and our legitimate interests (Article 6(1)(f)) in delivering a well-run event.
- Marketing follow-up — if you are not already a Bee360 customer or contact, we rely on our legitimate interests (Article 6(1)(f)) in following up on your expression of interest, or on your consent (Article 6(1)(a)) where required. You may object or withdraw consent at any time (see Section 7).
- Photo and video — where we intend to record or photograph an in-person event, we will provide clear notice at the venue and/or during registration, relying on our legitimate interests (Article 6(1)(f)) or your consent, as appropriate. If you object to the use of a specific image or recording of you, contact us immediately (see Section 8) and we will take appropriate action.
In addition, we process personal data for the purpose of administering and maintaining the Bee360 Community, relying on your consent (Article 6(1)(a)) or our legitimate interests (Article 6(1)(f)).
5. Photography and Video at In-Person Events
Bee360 may photograph or video record in-person events for use on our website, social media channels (LinkedIn, etc.), and other marketing materials.
- Notice will be provided at the event entrance and/or in registration communications
- If you do not wish to be photographed or filmed, please notify event staff on arrival and we will make reasonable efforts to accommodate your request
- If you see an image or recording of yourself published that you would like removed, contact us at info@bee360.com
6. Sharing Your Information
We do not sell your personal information. We may share your event data with:
- Pipedrive — our CRM platform, used to manage registrant and attendee records. See Pipedrive's Privacy Policy at pipedrive.com/en/privacy.
- Event platform providers — webinar and virtual event tools (e.g., Zoom, Teams, or similar) used to deliver online events. These providers have their own privacy policies.
- Bee360 GmbH — our parent company in Karlsruhe, Germany, for operational and administrative coordination. The UK has assessed the EU as providing an adequate level of data protection under its adequacy regulations, so these transfers can generally take place without additional safeguards; where needed, Standard Contractual Clauses under UK GDPR are used.
- Marketing platforms — where we send event follow-up or promotional emails.
- Authorities — where required by applicable law or legal process.
7. Your Data Protection Rights (UK GDPR)

These rights apply under the UK GDPR and the Data Protection Act 2018. To submit a request, email info@bee360.com with the subject line "Data Protection Rights Request." We will respond within one month, as required by UK GDPR Article 12(3).

8. Data Retention
We retain event registration and attendance data for as long as necessary to manage our business relationship with you and for a reasonable period afterward for marketing and sales follow-up — typically up to 3 years from the event date, unless you request deletion or opt out of further communications. Photos and video recordings may be retained indefinitely as part of our marketing archive unless you request removal of a specific image or recording.
Personal data processed in connection with Community membership will be deleted once the membership ends or consent is withdrawn, unless statutory retention obligations prevent this.
9. Children
Our events are intended for business professionals and are not directed at children under 13. We do not knowingly collect personal information from children. If you believe a child has registered for one of our events, please contact us at info@bee360.com.
10. Changes to This Notice
We may update this Privacy Notice from time to time. The current version will always be available at www.bee360.com/privacy-events. Material changes will be communicated via the event registration process.
